Run Walk Crawl — Terms & Conditions of Entry

We've tried to keep these Terms & Conditions straightforward. They explain what happens if your plans change, what you can expect from us, and what we expect from you.
By entering a Run Walk Crawl (RWC) event you agree to these Terms & Conditions, together with the event-specific rules and compulsory kit requirements published for your race. Nothing in these Terms affects your statutory rights.
1. If You Can't Take Part
We understand that plans change. Depending on when you withdraw, you may transfer your entry to another runner, take Race Credit for another RWC event, or receive a cash refund.

Race Credit is valid for 18 months and can be used towards any eligible RWC event available through Race Space. It may be used as part-payment and any unused balance remains available until its original expiry date. Once Race Credit has been selected it cannot be exchanged for cash and does not guarantee a place in a future event.
Transfers must be completed through the official Race Space transfer process at least 14 days before the event. It is your responsibility to find a replacement runner, who must meet the event's eligibility requirements. An administration fee may apply.
Refunds and Race Credit are based on the event entry fee paid to RWC. Separate booking, transaction or insurance charges made by third parties are subject to their own terms.
Injury, illness and other personal circumstances are covered by the standard terms above. Optional race insurance may be available when entering and may provide additional protection, subject to the insurer's terms.
2. Special Circumstances
Pregnancy and postpartum: If you are unable, or do not consider it appropriate, to participate because of pregnancy, pregnancy loss, childbirth or postpartum recovery, you may choose a 100% refund or 100% Race Credit valid for 18 months, regardless of the standard deadlines above. This cannot be completed through the Race Space system, please email info@runwalkcrawl.co.uk with a cancellation request.
Armed Forces: If you are a serving member of the Armed Forces and cannot participate because of a deployment, posting, mobilisation or other compulsory service commitment which arose or materially changed after you entered, you may choose a 100% refund or 100% Race Credit valid for 18 months. We may ask for reasonable evidence but will not require sensitive operational information. This cannot be completed through the Race Space system, please email info@runwalkcrawl.co.uk with a cancellation request.
Exceptional circumstances: We recognise that exceptionally serious circumstances can arise. RWC may, at its discretion, offer additional Race Credit or a full or partial refund. The exercise of discretion in one case does not create an entitlement or precedent in another.
3. Your Entry
Your entry is for the person, event and distance shown in your booking. You must provide accurate participant and emergency information, meet any published eligibility requirements and choose an event appropriate to your experience, fitness and ability.
Entries may only be transferred through the official process. A participant using another person's identity or race number may be refused permission to start or disqualified.
Where an event has multiple distances, you may request a change where places are available. Moving to a more expensive distance requires payment of the difference; when moving to a cheaper distance, the difference will be issued as Race Credit. Event-specific deadlines may apply.
4. Changes, Postponement and Cancellation
Trail and mountain events take place in environments where conditions can change. RWC may reasonably alter a route, distance, start or finish, timings, checkpoints, cut-offs, compulsory kit or other arrangements for safety, land-access, environmental, regulatory or operational reasons. Changes which do not fundamentally alter the nature of the event will not normally entitle participants to a refund or Race Credit.
If RWC cancels an event for reasons within our reasonable control and does not provide a substantially equivalent replacement, participants will be offered a refund of the event entry fee or Race Credit of at least equivalent value.
If an event is postponed, entries will normally transfer to the new date. Where a participant cannot reasonably attend, we will offer appropriate alternatives which may include Race Credit, transfer or refund.
Events may also be affected by circumstances beyond our reasonable control, including severe weather, fire, flooding, loss of land access or instructions from emergency services, landowners or public authorities. We may alter, shorten, delay, postpone or cancel an event in these circumstances.
Where an event cannot proceed, RWC will act fairly and reasonably in determining the options available, taking account of costs already incurred or committed, costs which can be recovered or avoided, and applicable consumer law. Options may include rescheduling, Race Credit and/or a full or partial refund.
5. Your Responsibilities & Compulsory Kit
Trail and ultra running involves inherent risks including difficult terrain, remote or exposed locations, darkness and adverse weather. You are responsible for being appropriately trained, prepared and equipped for your chosen event and for exercising an appropriate degree of self-sufficiency.
You must follow the official route using the navigation method specified, comply with checkpoints and cut-offs, and follow reasonable instructions from the Race Director, event officials, marshals or medical personnel. Checkpoints, marshals, tracking, course markings and safety provision support the event but do not remove your responsibility to arrive appropriately prepared and make sensible decisions about your participation.
Compulsory Kit
Compulsory means compulsory.
You must carry or wear all items on the published compulsory kit list for your race. The list is a minimum requirement; you remain responsible for carrying anything additional appropriate to your needs and the conditions.
RWC may check kit before, during or after an event and may amend requirements where conditions reasonably require it.
If you do not have the required compulsory kit, we may refuse to issue your race number, prevent you from starting, stop you during the event or disqualify you. No refund or Race Credit will be given in these circumstances.
6. Event Conduct, Withdrawal & Disqualification
Participants must behave responsibly towards other runners, volunteers, landowners, livestock, the public and the environment. Deliberately cutting the route, prohibited assistance, littering, abusive or dangerous behaviour, refusing reasonable instructions or serious breaches of event rules may result in penalties or disqualification.
If you withdraw after starting, you must tell RWC in accordance with the event instructions. Leaving without notifying us may result in unnecessary deployment of event or emergency resources.
RWC may prevent a participant from starting or require them to stop where compulsory kit is missing, a cut-off has been exceeded, event rules have been materially breached, or authorised event or medical personnel reasonably consider continuation unsafe. No refund or Race Credit will normally be given in these circumstances.
7. Liability, Data & General Terms
RWC will organise its events with reasonable care and skill. Participation in trail and ultra-running nevertheless involves inherent risks which cannot be completely eliminated. Nothing in these Terms excludes or limits RWC's liability where it would be unlawful to do so, including liability for death or personal injury caused by our negligence.
Participants are responsible for their own possessions and for travel, accommodation, equipment and other costs associated with attending an event, except where RWC is legally liable.
Personal information will be processed in accordance with our Privacy Policy and applicable law and may be shared with relevant providers where necessary to administer or safely deliver the event. RWC events may be photographed or filmed and images used for event reporting and legitimate promotional purposes in accordance with our Privacy Policy.
These Terms are governed by the laws of England and Wales. Nothing in them limits your statutory consumer rights.
